Orders and purchase orders: what do I do?

An order is a buyer's purchase that you send to the buyer. A purchase order is BTAB ordering stock from you. Here is what to do with each.

TL;DR: There are two kinds of order. An order is a buyer's purchase from a shop: you accept it and ship it to the buyer. A purchase order is BTAB ordering stock from you: you confirm what you can supply, then ship it to BTAB. Purchase orders always come from BTAB, never from a shop.

Orders: a buyer bought your product

Open Orders in the menu. Each order shows only your items in it and what is Owed to you.

  1. Open the order and click Accept order to confirm you will fulfil your items.
  2. Send the goods to the address under Deliver to. Use Copy address if you need it. If there is no address, check with the seller before you ship.
  3. Enter the Tracking number (and the carrier if you have it), then click Mark shipped.
  4. When the buyer has the goods, click Mark delivered.

On some orders you will see Ready for pickup instead. Click it when the goods are ready, and the shop will arrange a courier to collect them.

If an order says it was cancelled, there is nothing to do.

Purchase orders: BTAB is ordering stock from you

Open Purchase orders in the menu. A new one shows Awaiting your response.

  1. Open it and check the items, quantities and the needed by date.
  2. Under Can you supply this order?:
    • To supply everything, leave the quantities blank.
    • To supply part of a line, enter the lower quantity.
    • Enter the date You can ship by and any note for BTAB.
    • Click Confirm order.
  3. If you cannot supply it, click Cannot supply, say why, and click Reject order.
  4. When the goods are on their way, fill in Ship this order (Carrier, Tracking number, Cartons) and click Record shipment.

Recording the shipment does not mark the order received. BTAB records that when the goods arrive, and the purchase order then shows Partly received or Received.
